Meal Plan

HSA will not have a meal plan per se this year, but we will be be providing a few amenities and Community Meal* options as well as Food Vendors. 

 

To participate in the community meal, we ask you to participate in both nights. Community Meals are free of charge, are first come first serve and subject to availability. 

Bring Your Own Dishes and Silverware!

We are now a Leave No Trace event so we need your help! We are requesting all community meal participants to Bring Your Own Dishes And Silverware (BYODAS). This will not only decrease waste but will also minimize cleanup! Dish-washing stations outside the dining hall will be available and monitored by staff. 

Pet Policy

All pets must have current vaccines, where applicable. You will upload your pet’s current vaccination records during the registration process.

Your pet will be refused admission to Heartland Pagan Festival unless properly registered.

Gaea Retreat Center has strict guidelines regarding pets as outlined in their Agreement of Respect.

Please familiarize yourself with these rules prior to your arrival.

Refund & Cancellation Policy

You may cancel for any reason until the first day of the festival and receive a full refund minus any applicable fees.

No refund requests accepted once Heartland Magical Spaces begins

If you are asked to leave the event, you forfeit all your registration fees.

All Day Pass purchases are non-refundable.

Refund requests will only be accepted through the refund request form. No exceptions.

In the event that Heartland Spiritual Alliance must cancel the event in its entirety for any reason, you will receive a full refund minus any processing or applicable fees.

Community Service Hours

All attendees are asked to contribute 2 hours of community service to help our many teams & committees that make it all happen. This is a great way to contribute to the energy of the weekend and the absolute best way to meet new friends.

Community Service sign-ups are done when you check in at Registration. Simply select a day and choose where you would like to commit your hours, then that day check in with the Community Service Team 15 minutes before your shift begins to receive your assignment slip.

 

Did you know that hosting a workshop, ritual, or activity at HPF contributes to your Community Service hours? Submit a Community Involvement Submission Form today!

 

 

Below is a list of the various committees that offer Community Service shifts:

Vehicular Management

 

Helping here consists mainly of sitting at a traffic spot and letting folks on the radio know when it’s safe to send cars on the one lane roads, or provide support for those who are. This requires the most people as there are a number of positions.

Safety 

Needs trained medical personnel to stay at the booth and help with any ‘Ouch!’ moments of the festival.

 
Community Fires

Jump on the trailer with the Horde! They meet at the wood corral at 2:00 pm each day to load the wood needed for the fires each night. Interested in tending the fires? Come help us build and we can teach you all about it! Closed toed shoes are a must during each afternoon’s building session. We are looking forward to meeting you!

 
Fundraising/ Merchandising

The merchandise tent needs staff to sell wares and mind the store. This is good for those who need to sit down.

 
Sacred Experience

Need the HSA booth staffed, good sit down work, best done by those who are familiar with the rituals and Sacred Experience Committee. The SEC is happy to educate you in these matters.

 
Hospitality

Helpers in the kitchen to do dishes and mop the floors (Perk- usually gets fed by the kitchen!)

 
Gaea Teens

Essentially a camp-counselor position, guiding the teens through their activities.

 
Front Gate

The front gate has to be staffed 24 hours a day. This job is necessary to allow guests, law enforcement, and medical personnel in, and to keep any non-festival folks out. You are essentially a bouncer. Shifts will be in 4 hour increments.

Work Exchange Program

Work Exchange has been a valuable program over the years for many of our attendees. Our Community Involvement Coordinator works with each Work Exchange participant to pair them with a committee that best meets the needs/skill-set of the participant and the committee.

The Work Exchange program is 14 hours for $60 this year.

Signing up for Work Exchange is easy:

  • Review our Team & Committee List to get familiar with your volunteer options

  • Determine your level of participation

  • Register for Fest using the appropriate ticket

  • Then hold tight and our Community Involvement Coordinator will contact you to confirm your assignments

When registering, you may choose up to three (3) committee preferences. You may also choose to ‘float’ between committees as needed.

Examples of available Work Exchange commitments:

 

We always need help with set-up and tear-down! Set-up is Wednesday and Thursday pre-Fest and tear-down is Monday and Tuesday post-Fest. Helping includes set-up and tear-down of: the big carports, Pavilion seating, the parking areas and shuttle stops, etc as well as disbursement and cleanup of all Committee supplies. Set-up also has extra tasks like lugging firewood, stuffing paperwork, and setting up the Registration office. This is a great way to get your hours in and still enjoy the entire Festival!!

 

Vehicular Management always needs people who are willing to commit their 14 hours to one committee. Helping here consists mainly of sitting at a traffic spot and letting folks on the radio know when it’s safe to send cars on the one lane roads, or provide support for those who are.

 

Community Involvement could use help in the Registration office to give directions and answer questions for our guests. This is perfect for someone who has a lot of experience with the festival and though it does require a lot of standing does allow you to be in the shade and interact with a lot of our Guests!

 

The front gate has to be staffed 24 hours a day. This job is necessary to allow guests, law enforcement, and medical personnel in, and to keep any non-festival folks out. You are essentially a bouncer. Shifts will be in 4 hour increments. You can do a longer 14 hour shift overnight as well to knock out your hours all at once!

……and there are so many more! Almost all our committees need help during the Festival so there’s truly something for everyone!
